Job Title:  Data and Recruitment Manager (K1-12)

Supervisor: Director of Operations

Start Date/Hours: July 1 - June 30; 9am-5pm, Monday through Friday

Description: The Data and Recruitment Manager’s role is to oversee the recruitment and enrollment of new students and manage data and reporting for both internal and external purposes, ensuring the school’s ongoing compliance. The role requires performing a variety of tasks aimed at managing existing administrative and data systems while actively working to recruit new students. This role also requires implementing and executing data projects and creating reports to provide insight into our school’s performance on a regular basis.  S/he is expected to manage the organization’s Social Media outlets and actively advertise the school to the community and prospective students/families. The role is an important link in the public relations and communication processes with families and the community. The Recruitment and Data Manager must be a proactive person that can work as a team member, be supportive and responsible to our students, families and staff, and establish fruitful relationships with external organizations and community partners.

Responsibilities include (but not limited to):
Recruitment & Admissions

  • Advertise and hold information sessions for prospective students and families; create and disseminate student recruitment mailings
  • Arrange tours of the school for prospective parents
  • Market Codman Academy to area schools and other partnership organizations
  • Manage existing Codman social media presence on Facebook, Instagram, Twitter and other relevant platforms
  • Request, collect, organize and maintain registration documents & records
  • Assist in development and implementation of lottery system
  • Create and mail enrollment packets to newly admitted students and actively communicate with families to ensure enrollment quotas are met
  • Work with leadership to ensure adequate student enrollment in order to meet annual budget

Data & Reporting

  • Design and manage systems for school performance data collection analysis and interpretation
  • Extract, manipulate, and report data to leadership team
  • Produce written reports that document data analysis results
  • Serve as the point of contact with the DESE; complete all required reports in a timely manner
  • Serve as school Registrar; support enrollment and student records; process student transfers, requests for transcripts/records
  • Serve as point of contact for Board of Trustees; attend and record minutes at monthly Board meetings; prepare monthly data dashboard and share data updates with Board as requested
  • Manage PowerSchool on behalf of Codman Academy; serve as account lead (with support from Director of Technology); update student records in PowerSchool
  • Assist in preparing mailings for both schools

Office & Records Management

  • As the second responder, provide coverage to the main office as needed and ensure that all visitors sign in and take a visitor badge when necessary
  • As the second responder, provide coverage to the main office ensure the safety and security of the school by making sure that the front door is locked and entry to the premises is controlled
  • As the second responder, assist in the main office, oversee student sign-in and documentation for late arrivals and early dismissals, and serve as hub for incoming calls
  • As the second responder, assist in main office serving as school attendance coordinator; enter daily attendance in PowerSchool; activate automatic call to the homes of tardy and absentee students
  • Assist with all mailings to families (including collecting and copying all materials)
  • Ensure all filing is complete
