ABOUT THE POSITION

The Administrative Assistant provides administrative support and management of logistical details for the Managing Director, Growth and Engagement, and the Managing Director, Product. Reporting to the Managing Director, Product, this position will be responsible for equally supporting the administrative needs of both Managing Directors and key team members as well as communication with distribution partners. This is a full-time position.

RESPONSIBILITIES

Specific responsibilities include:

Proactively manage the Managing Directors’ calendars, correspondence, and travel arrangements

Communicate with internal colleagues, Managing Directors’ direct reports, and external partners

Attend to data entry tasks and managerial details

Provide logistical leadership for events and meetings

Generate expense reports through tracking, coding, categorizing expenses

Manage projects with a backwards planning approach

Other duties as assigned

CANDIDATE QUALIFICATIONS

A successful candidate will have:

Skills:

High degree of proficiency in technology tools including the Google Apps, use of online calendar, MS Office Suite, Salesforce

Ability to use web-based collaboration tools (e.g., Google Hangout, Adobe Connect)

Strong communication skills for both internal and external audiences

Logistical event planning experience for participants from a variety of settings

Familiarity with Salesforce preferred

Knowledge:

Familiarity with nonprofit business processes such as the contract, purchase order, invoice and billing process

Background in K-12 education, publishing, and/or sales desirable

Attributes:

A passion for EL Education’s mission

A minimum of 2 years’ work experience

High detail-orientation

Project management skills

A self-starter with demonstrated ability to take initiative

Ability to prioritize a number of concurrent tasks

Capacity for occasional travel - up to 25% - including but not limited to 4 nights for National Conference, 4 nights for Staff Gathering, and occasional remote in-person meetings

Ability to set own daily schedule, prioritize a number of tasks

Service oriented mindset

Ability to collaborate and match collaboration style to support dynamic and diverse team members

Comfort with working remotely by oneself

Ability to work with a geographically dispersed organization

Professional demeanor

Ability to bring a spirit of joy and humor to challenges

Education:

Bachelor’s degree preferred -- ideally with background in communication or business administration
